About This Role:

This position provides direct administrative support to the department head as well as to assigned faculty members.  The incumbent will also serve as the coordinator of the Graduate Student program within the department.

  • Provide administrative support to the Department Head and serve as the liaison between the Department Head, university administrators, industry representatives, company executives, faculty, staff and students. Assist in facilitation of faculty promotion and tenure process as well as the annual review process. Schedule appointments and manage Department Head’s calendar. Prepare correspondence, faculty evaluations, travel schedules, reimbursement requests, and other confidential documents for Department Head. Oversee undergraduate and graduate student exit interviews and summarize data. Coordinate special events and projects as requested by Department Head and faculty.
  • Provide administrative support to faculty, staff, and department committees as assigned.  Process faculty travel requests and vouchers.  Maintain databases of faculty information including current faculty CVs, current awards received, and publications. Be able to provide requested reports timely.Provide administrative support for search committees as requested.
  • Serve as departmental Graduate Program Coordinator.  Serve as primary contact with the Graduate School; acting as primary liaison between department and Graduate School.  Assist prospective students through application process and complete applicant tracking through CollegeNet.  Maintain current and former graduate student files. Coordinate with faculty and graduate school for graduate faculty nominations. Coordinate meetings for graduate program committee, follow-up with faculty as needed.  Notify current graduate students of upcoming deadlines or events from Graduate School. Maintain graduate student database, ensuring up-to-date and accurate information.


What You’ll Need to Succeed:

Minimum Requirements:

  • Two years of relevant experience in general office and administrative support work

Preferred Qualifications:

  • Bachelor’s degree
  • Five or more years experience in general office and administrative work
  • Familiarity with the graduate student application process, CollegeNet, and enrollment process
  • Experience communicating effectively both verbally and in writing
  • Successful use of independent judgment, professional etiquette, organizational skills, and multi-tasking skills


Other Requirements:

  • Applicants must be currently authorized to work in the United States at the time of employment

Salary Range/ Pay Rate:

$14.21 – $21.31 per hour

Actual salary will be determined based on the candidate's experience, education, internal equity and departmental funding. Salary offers are typically made between the minimum and midpoint of the salary range. The range indicated includes both the typical hiring range and potential future progression.
