About This Role:

If you enjoy the satisfaction that comes from assisting customers; researching and solving problems; and performing general administrative tasks, this position may be a perfect fit for you!  The Office Specialist II serves as the department customer care associate, performing tier one triage for incoming issues and inquiries; assisting with general accounting functions, and performing a variety of routine administrative tasks. Regular work hours are 8:00 a.m.–5:00 p.m., Monday-Friday.

Duties / Responsibilities:

  • Manages primary departmental outward facing/customer email account and resolves issues or directs to appropriate staff.  Applies knowledge of entire HDS operation to ensure information regarding on-campus housing and dining options, application and contract procedures, as well as broad information about the residence halls, Jardine Apartments, dining centers and the department is professionally and accurately disseminated to prospective and existing residents, the public, students and campus faculty and staff.
  • Assists with accounting functions involving cancellation and refund calculations, by reconciling account balances before issuing credit card refunds and KSIS credits. Assists in account balancing for approximately 5,000 resident accounts.  
  • Performs a variety of administrative tasks to support the daily operations and needs of a large, complex department.
  • Under direction of supervisor, maintains the SOP's for Contracts and Occupancy Management section. Performs functional testing for Housing Management System (HMS) application updates and full upgrades. Creates test scenarios and conducts special project investigations for policy drafts on behalf of the Assistant Director of Contract and Occupancy Management. 

What You’ll Need to Succeed:

Minimum Requirements:

  • One year of relevant experience

Preferred Qualifications:

  • High school graduation/GED
  • Customer service experience
  • Demonstrated competency in various computer software applications (Microsoft Office, email, etc.) and with commonly used office equipment
  • Effective written and oral communication skills at a level that reflects a high degree of professionalism and competency
  • Familiarity with on-campus housing

Other Requirements:

  • Applicants must be currently authorized to work in the United States at the time of employment

Salary Range/ Pay Rate:

$ 12.88 - $ 19.33 per hour
