About This Role:

This Project Associate position coordinates support functions for the 4-H Military Partnerships Project to ensure that goals and objectives specified in grant applications are accomplished in accordance with established priorities, timelines, funding restrictions or other specification. Provides budget support for the Project. This position reports to the 4-Military Partnerships Project Director.

Duties / Responsibilities:

Specific Project Support Functions :

  • Maintains a working knowledge and u p-to-date account for the Project’s budgets and available balances while utilizing Excel and/or other fiscal programs/reports.
  • Manages logistics for all special training meetings/conferences while staying within a pre-determined budget. Work in this area may include:
    • Coordination and scheduling of flights, hotels, catering, ground transportation, securing meeting space, etc.
  • Reviews, edits and delivers information, updates, changes, and other important details to Project Partners (State Military Liaisons, USDA, Military Partners, etc.) through approved quarterly newsletters, updates to the website, infographics, etc.
  • Assists with the maintenance of the Project’s website.
  • Ensures data for the Project entered into Excel based spreadsheets are up-to-date, accurate, and is assessable via reports as needed/requested by Project staff.

General Project Support Functions:

  • Serves on Project committees, as assigned by the Project Director. Committees consistently include members from other LGUs. Frequent use of phone, email and other conference technologies (Zoon, Go-to-Meeting, Skype, etc.) required.
  • Represents the Project at meetings/conferences, as assigned by the Project Director.
  • Records minutes for all Project conference calls and/or meetings.
  • Fields and directs questions on the Project from 4-H Military Liaisons, Military Partners and the public to the appropriate parties.
  • Orders supplies/inventory for the Project as needed and as approved per policy.
  • Assists with the development and distribution of promotional materials for the Project.
  • Assists Project Director with all aspects of the Project as needed through other duties as assigned.

Processing/Maintaining Project Sub-Awards:

  • Understands and assists with all grant processes (Request for Award – RFA) for funding received through NIFA/USDA and sub-awarded to other Land Grant Universities (LGUs). Work included within the RFA process may include:
    • Assisting with securing a review team for RFAs.
    • Ensuring all sub-award documents are correct and complete prior to their submission to the KSU Pre-Awards Office. Filing all final copies for Project staff access needs.
    • Recording all decisions made on funding determinations.
    • Assisting with changes (budget, scope of work, etc.) for sub-awards as approved by the Project Director.

Minimum Requirements:

  • Requires a high school diploma and two years of relevant experience.

Preferred Qualifications:

  • Associates Degree.
  • Five years of relevant experience.
  • 3-5 years of project budget planning and budget reporting experience.
  • Ability to use critical thinking to analyze and interpret data and information.
  • Highly developed computer skills using MS Office Suite (specifically Excel, Word, PowerPoint and Publisher), Internet search engines, email, electronic calendars and project management software.
  • High level of attention to detail.
  • Demonstrated excellent interpersonal, oral, and written communication skills.
  • Strong, flexible team player that works to meet both personal and organization goals.
  • Prompt and professional response to all requests.
  • Ability to multi-task and prioritize workload with minimal supervision.
  • Discretion in handling confidential information and materials professionally.
  • Ability to travel outside of the State of Kansas as required.

Other Requirements:

  • Applicants must be currently authorized to work in the United States at the time of Employment.
  • Applicants must be able to enter onto a CONUS or OCONUS Military Installation.
