General Description of Position:

 Kansas State University Olathe (http://olathe.k-state.edu) is seeking a full-time Events Assistant. Reporting to the Events Coordinator, this position works with K-State staff and external clients in the planning, promoting, and coordinating of meetings, events, classes and conferences. This position will be exposed to all aspects of event coordination and reception skills at a full-service event facility. It also provides unique opportunities to work directly with food services and programs and facility operations.

The Successful Candidate will:

  • Assist Events Coordinator with booking and planning all details of meetings and events from start to finish.  Coordinate all logistics; facility availability, event pricing, building tours, time lines, space setup, catering, beverages, wayfinding signage and rental items.
  • Assist with event setup, tear down and clean up after events. Duties include:  coordinating all catering company deliveries and beverage service setup for events, dishwashing, and general cleaning of area and kitchen facility.   
  • Assist facilities team on all event logistics; to include staffing, catering, beverage service, and required rental items. Communicate daily to verify all spaces are setup and organized correctly.
  • Assist clients and staff during events and handling details as needed to include special requests for room reservations for meetings, classes, conferences and events.
  • Process event invoices, organize and compile monthly catering surcharges and hotel room night stays.  Enter all booking details for each event in EMS (Event Management System), and compile client data base and track event sales.
  •  Maintain a cheerful “can do” attitude, a professional image and be committed to developing a positive rapport with clients and staff.  Ability to communicate professionally via e-mail, phone and in-person.
  • Attend operations and staff meetings as needed.

Required Education and Experience:

  • Requires a high school diploma and one year of relevant experience.

Preferred Qualifications:

  • Minimum 2 years of experience in hospitality industry or equivalent experience.
  • Prior experience in food service, catering and events.
  • Highly detailed oriented with strong organizational skills
  • Committed to consistently providing a high standard of excellence.
  • Ability to juggle multiple events and tasks concurrently; remain calm and composed under pressure.
  • Ability to work a flexible schedule; early morning, evenings and weekends.
  • Ability to transport over 40 lbs. Frequent carrying, pushing and pulling over 40 lbs.
  • Ability to stand for long periods of time; ability to walk extensively.

Salary Range and Benefits:

Salary Range:  $30,150-$45,220, or $14.49-$21.74 per hour. Salary commensurate with candidate's ability and experience.
