About This Role:

The Accountant I directly supports Arts and Sciences Shared Services Accounting Center and is responsible for day-to-day accounting tasks. Communicates with faculty/PI/staff on purchasing methods, spending limits and purchasing compliance. Maintains accurate records of all documentation received or processed by the center.

What You’ll Need to Succeed:

Minimum Requirements:

  • High School Diploma.
  • One Year of relevant experience.

Preferred Qualifications:

  • Three years of experience in professional accounting/auditing work.
  • Experience in grant administration.
  • Experience working in computer based accounting system.
  • Familiarity with the State of Kansas and Kansas State University policies and procedures regarding grant expenditure and revenue.
  • The ability to work within a high-volume, fast-paced setting is beneficial with strong attention to detail, organization and time-management skills preferred.

  • Applicants must be currently authorized to work in the United States at the time of employment.

Duties and Responsibilities:

  • Assist the Accountant III (lead accountant) in posting approximately 150 sponsored grants, 350 KSU Foundation accounts and 660 in state OOE and salary accounts.
  • Monitor grant accounts receivable and accounts payable functions for the Shared Service Center. Assist lead accountant in auditing transactions for errors and inaccuracies to ensure proper state and university procedures concerning the allocation and expenditure of funds. Monitor account balances as salary and purchase requests are received to the Shared Service Center. Track grant end dates to ensure award is spent out with appropriate use of budgeted funds. Assist lead account in pre and post award processes.
  • Provides oversight to faculty/PI purchasing methods, spending limits and purchasing compliance. Works with individuals who are purchasing items over $10K to ensure that they adhere to requirements set by the state and university’s purchasing authority.
  • Offer support for new faculty and staff on accounting, travel and Business Procurement Card procedures.
  • Assists the lead accountant with posting of all expenditures in the Shared Services accounting system. Enters salary projections for grants and maintains supporting documentation by following retention policies.
  • Monitor closely faculty start up commitments for expenditure splits at the posting level.
  • Assist lead accountant in training new accounting personnel in the center.
  • Serves as backup to all accounting personnel in the Center. These duties may include, but not be limited to, preparing and processing all department and grant expenditures via Agency Payment Vouchers (APVs), Business Procurement Card (BPC) payments, and Interfund Vouchers (IFVs) in accordance to university, state or federal requirements and obtains accountant's signature approval. Also handles travel procedures from out-of-state travel requests to travel voucher payments, ensuring all rules and guidelines are adhered to from the request-of-travel to the travel voucher payment.

Salary Range/ Pay Rate:

$14.49 - $21.74 per hour*

*The minimum salary for this position is $14.49 per hour. Actual salary will be determined based on the candidate's experience, education, internal equity and departmental funding.
