About This Role:

A recent promotion has created an opening for an Accounting Specialist with our Housing and Dining Services (HDS) financial services team.  In addition to monitoring and administering accounts and transactions, the position offers the opportunity to interact regularly with full and part-time staff.  The  interactions with part-time student staff provide the incumbent with a rewarding opportunity to foster and enhance student learning related to the general administration and oversight of a financial account.

Duties/

Responsibilities:

  • Administer more than $1,700,000 in annual receivables billing for summer conference participants, contracted security access services for other University departments per Service Level Agreements and goods and services provided to other K-State departments and entities. Reconcile declining balance accounts. 
  • Generate various monthly A/R reports. 
  • Monitor HDS Funding Balance Accounts to ensure all financial activity is properly charged and funded to prevent any negative balance occasions.
  • Utilize e-Forms, DFS and Discoverer Report Generator, and other system applications to ensure timely recognition of potential negative balance situations and provide alternatives to avert such a scenario.
  • Monitor encumbrances in funds and ensure large accruals to the financial system are also reflected in the encumbrances of the Funding Accounts when appropriate. 
  • Monitor and collect revenue accrual information on a monthly basis.  Participate in audit of cash funds for multiple retail operations and prepare reconciliation reports.
  • Participate in testing and support to ERP accounting system and other system upgrades and enhancements.
  • Work closely with residence hall staff in maintaining S&E accounts and create rehabilitation plans for HDS residence halls and floors S&E accounts to improve compliance. 
  • Assist Accountant II and II with revenues and expenses accrual applicable to monthly and year end closing processes.
  • Present annual training to new and continuing HDS student living staff and student officers of Association of Residential Halls in proper procedures related to staff and student travel as per KBOR ordained S&E expenditures.  
  • Contribute to training and preparation of College of Business accounting students (hourly student staff) in the HDS practical experience program and actively engage in training and modeling of professional business practices.   

What You’ll Need to Succeed:

Minimum Requirements:

  • Requires a high school diploma
  • Six months of relevant experience

Preferred Qualifications:

  • Business or accounting degree or minimum four years in an accounting role that required familiarity with university, state or federal accounting compliance and GAAP principles, including revenue accrual accounting and reconciliation procedures.
  • Cash handling experience, including auditing cash funds in a retail environment.
  • Experience with PeopleSoft, Oracle, SAP or similar large database ERP financial system.
  • Familiarity with document imaging systems.
  • Ability to interact and communicate effectively with others, particularly student staff and students in leadership roles.
  • Ability to foster student learning within scope

Salary Range/ Pay Rate:

$12.88 - $19.33 per hour 

Please note:  the minimum pay for this position is $12.88 per hour.  Actual salary will be determined based on the candidate’s experience, education, internal equity and departmental funding. The range indicated includes both the typical hiring range and potential future progression.
