About This Role:

Assist the Physician Assistant Program Director with the administrative duties of the Physician Assistant program.

Principal Responsibilities:

Administrative

  • Provide direct, high-level administrative support to the program director.
  • Serve as manager of the physician assistant program.
  • Assist the program director in the planning and coordinating of program’s clinical and admission functions.
  • Monitor for and respond to incoming program emails and other communication sources, and receive and direct PA Program telephone calls and visitors.
  • Assist the program director in the continuous program self-assessment, and ARC-PA compliance.
  • Prepare, submit and process all program travel, purchase orders, checks and expense reimbursements for the program, maintain monthly budget ledger and assist the program director in the maintenance of monthly record of expenditures.
  • Assist the program director in the hiring and training of admissions, clinical and academic coordinators.
  • Coordinate all program seminars, workshops, travel arrangements, special projects, and events.
  • Assist in promoting the program among community organizations and area health care providers, including attendance at various professional meetings.
  • Assist the clinical director in the direction, structure, organization, and scheduling of rotations in the clinical year.
  • Oversee the maintenance of office supply and equipment inventory.
  • Other duties as assigned by the Program Director.                                      

Clinical Site and Preceptor Recruiting

  • Travel to actively recruit, via initial contact then maintain and evaluate clinical sites.
  • Assist the clinical director in establishing and maintaining affiliation agreements with preceptors and affiliated institutions, and keep the supervised clinical practice experiences (SCPE) program detail updated on ARC-PA’s portal.
  • Liaison with all clinical sites and preceptors.
  • Create and maintain a database of prospective and current preceptors and/or potential clinical rotation sites.

Admissions

  • Assist with coordinating activities involved with recruitment, interviewing, selection and retention of prospective students.

What You’ll Need to Succeed:

Minimum Requirements:

  • Bachelor’s degree in higher education, business, or health related field of study, or equivalent experience

Preferred Qualifications:

  • Education / Knowledge:
    • Be a self-starter

    • Be able to perform without direct supervision

    • Be accountable

    • Ability to develop and deliver presentations

    • Ability to communicate effectively, both orally and in writing

    • Ability to gather data, compile information, and prepare reports

    • Knowledge of preceptor/student recruitment and retention

    • Ability to plan and evaluate programs

    • Ability to analyze course prerequisites, certification, and/or curriculum/graduation requirements

    • Organizing and event coordinating skills

    • Skill in the configuration and use of computerized database programs

    • Ability to work effectively with diverse populations

    • Solid knowledge of Microsoft Office.

  • Experience:
    • Minimum of 3 years of experience in the medical administrative environment, other healthcare related field or Physician Assistant Education preferred.

    • Two or more years of experience in higher education preferred.

    • Three years of experience in a supervisory role is preferred.

Salary Range

$37,410-57,980 Annually
