General Description of Position:

The Department of Agricultural Economics at Kansas State University seeks to fill a fulltime, 12-month, Program/Project Administrator position.

Information about the College/Unit:

The Department has a reputation for excellence in all three functions of the University’s land grant mission (teaching, research, and extension).  The Department offers B.S. degrees in agricultural economics and agribusiness, an M.S. degree in agricultural economics, a Master of Agribusiness (MAB) degree, and a Ph.D. in agricultural economics. Position Responsibilities:

The Program/Project Administrator (Executive Assistant to the department head) handles a broad range of activities and works independently, collaboratively, and proactively.  The person in this position must be well-organized, flexible, and enjoy the administrative challenges of supporting an office with diverse stakeholders and needs. The position requires the ability to interact in a timely manner, professionally and diplomatically, with a broad range of individuals, including students, faculty, staff, directors, and deans as well as donors, alumni, and other external stakeholders.  The Program/Project Administrator (Executive Assistant) should be a self-starter with the ability to work as a team player, be comfortable working to deadlines, and be flexible, resourceful, and professional.  The position requires a high degree of discretion and a commitment to providing excellent service and building positive working relationships internally and externally.


Event planning.  Banquets, receptions, tailgates, etc.  Provide leadership in departmental events.  This involve negotiating appropriate contracts within the pre-determined budget.


Coordinate special committees and meetings on behalf of the Department Head.  In the event of the Department Head’s absence manage the classified and unclassified staff.  Manage and respond to Department Head’s email in the Head’s absence.  Provide guidance to faculty in the Head’s absence.  


Facilitates all basic functions (academic, business, personnel, etc.) of the Department of Agricultural Economics at the Department Head’s discretion.  Handles all materials regarding preparation and coordination of faculty evaluations; promotion and tenure documentation and hiring faculty, unclassified, graduate assistant, and student positions, conducts USS performance appraisals and determines the assignment of these employees to faculty members.  Participates in the evaluation of unclassified staff evaluations in addition to the USS evaluations. Advises the Department Head through serving as a resource and provide interpretation of Compensation and Planning guidelines, Faculty Handbook directives, etc.  Assist the Department Head and department faculty in the preparation of reports and award submissions. Handles all personnel actions.


Coordinate administrative process for promotion and tenure, sabbatical leaves, leaves without pay, retirements, terminations, and emeritus requests.  Incumbent must also proof, edit, and redraft documents prepared for the Department Head to promote a positive image of the department. 


Building Maintenance – updating rooms, remodeling, furniture.   Working with faculty to update and maintain facilities.

What You’ll Need to Succeed:

Be able to become a Notary Public after employment; attend KSU Introduction to Supervision shortly after employment.

Create an environment that fosters diversity and collegiality while working in a multi-cultural setting.

Required Minimum Qualifications:

  • Bachelor’s Degree
  • One year related experience such as providing administrative/programmatic support, coordination for an administrator, scheduling/calendar management, support for events, meetings, speaking engagements or special projects, preparation of documents for signature, and communications support. May also include problem-solving and analytical responsibilities.
  • Strong skills in Microsoft Word, Excel and PowerPoint.
  • Excellent oral and written communication skills.
  • Ability to work independently and in teams

Preferred Qualifications:

  • Three or more years related administrative experience
  • Demonstrated problem-solving and analytical skills, including the ability to research and analyze administrative problems, make recommendations, and take appropriate courses of action
  • Ability to work independently or as a member of a team with accountability for results
  • Excellent organizational skills with the ability to manage multiple priorities concurrently and pay attention to accuracy, detail, and follow through
  • Demonstrate customer service orientation and strong interpersonal skills including courtesy, professionalism, and a cooperative attitude
  • Proven ability to be inclusive and interact effectively in a diverse, multi-cultural environment with a wide variety of stakeholders
  • Demonstrated ability to be flexible, innovative, and receptive to taking on new or changing responsibilities
  • Demonstrated ability to exercise judgment, tact, and discretion and maintain integrity with sensitive or confidential information
  • Strong oral and written communication skills, including composition and editing
  • Demonstrated project management skills
  • Working knowledge of and ability to learn university policies and procedures
  • High proficiency with technology, including skills with Microsoft Office Suite (specifically Word, Excel, online calendaring/scheduling)
  • Ability to utilize KSU computer programs, KSIS, HRIS, and Canvas
  • Supervisory skills
  • Demonstrated ability to take initiative and make difficult decisions
  • Event planning experience

Anticipated Hiring Salary Range:

$60,000 - $66,000 annual salary ($28.84- $31.73 per hour)
