About This Role:

The Staley School of Leadership at Kansas State University in Manhattan, Kansas, is seeking candidates for an academic program specialist.  This position is a 12-month position. The academic program specialist will perform administrative work and coordination in support of the school’s academic and co-curricular programs and support the Staley School of Leadership in ways that reflect its values-based mission of developing knowledgeable, ethical, caring, inclusive leaders for a diverse and changing world. Academic Program support

  • Provide administrative assistance to the associate dean for academics, including managing calendars and representing the associate dean in communications internal and external to the school 

  • Work closely with the associate dean to manage course and building schedules. Act as point person for curriculum changes to assure accuracy of line schedules and record transcript changes and instructor permission enrollment in KSIS, Curriculog and Workflow 

  • Perform student services duties such as scheduling advising appointments, processing drop/add slips to the Registrar, coordinating award of the nonprofit designation, completing graduation checks, printing and mailing graduation certificates, and coding graduates with the Alumni Association  

  • Serve as support for prospective student phone calls and campus visits; and support orientation and enrollment  

Administrative support 

  • Serve as the lead point of contact for visitors of the school and building users by providing excellent customer service through problem-solving and anticipating needs of customers 

  • Oversee and perform reception duties for the school and the building such as mail distribution, answering the main phone line and organizational email accounts, and greeting all visitors  

  • Responsible for walk-through of the building at the beginning and end of each day - checking and straightening classrooms, locking/unlocking doors when necessary, arranging common space furniture, organizing break room and work room 

  • Provide training and guidance to student office staff for daily tasks 

  • Support faculty and staff with communication or preparing materials for programs, classes, and reporting projects 

  • Assist with planning, organizing, and implementing events on-campus and hosted in the building  

  • Coordinate with faculty and staff to purchase supplies and materials for offices, classrooms, and events and manage supply inventory.  

  • Support building management and classroom technology needs as needed including responding to and reporting requests and issues to the appropriate campus partner 

  • Schedule access to and usage of Leadership Studies Building classrooms and spaces for all users 

Service to the School 

  • Serve on committees that support the mission of the Staley School of Leadership to develop knowledgeable, ethical, caring, inclusive leaders for a diverse and changing world 

  • Other duties as assigned

What You’ll Need to Succeed:

Minimum Qualifications:

  • High School Diploma
  • Four years of relevant experience

Preferred Qualifications:

  • Four years of experience in an administrative capacity, assuring accuracy of implementing processes and procedures.
  • Exhibits initiative in problem-solving and ownership of projects and responsibilities.
  • Excellent interpersonal skills, ability to work with a diverse population of students and colleagues.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook), student information systems, scheduling software, or evidence ability to learn.
  • Demonstrated ability to prioritize, multitask, and effectively execute variable responsibilities and tasks throughout the day.

Anticipated Hiring Pay Range:

$40,000 - $55,000 (19.23 - 26.44 per hour)
