About This Role:

The Office Specialist will provide administrative support to the 4-H Youth Development Leader, provide website updates and maintenance, distribute communications to 4-H partners statewide and serve as the office manager for the State 4-H Office in Manhattan, KS.  The Office Specialist will supervise a Program Assistant and student employees.

Responsibilities include:

  • Update and monitor program leader's calendar and 4-H State Office master planning calendars. Assist program leader with reports, slides, meeting action items and outcomes.
  • Oversee department email accounts, listserves and internal/external communications.
  • Coordinate travel accommodations for program leader and assist other staff as needed.
  • Serve as the primary procurement officer for all equipment, supplies, and services needed for the Department.
  • Serve as the primary authority for department inventory records. Develops departmental system for inventory records for all furniture and equipment for the Department. Maintains all inventory records in accordance with the University’s policies.
  • Create, update and maintain department web pages using university policies and procedures.

What You’ll Need to Succeed:

Minimum Qualifications:

  • Requires two years of relevant experience.

 Preferred Qualifications:

  • Bachelor’s degree and three - five years relevant experience.
  • Experience with website management software, Adobe Acrobat Pro and Microsoft Office 365.
  • Have a broad understanding of business practices and working with multiple levels within an organization.
  • Communicate clearly and effectively, both orally and in written form.
  • Ability to read, comprehend and apply policies and procedures regarding appropriate activity.
  • Establish and maintain effective working relationships with coworkers, representatives of other agencies and/or departments, parents, etc.
  • Ability to maintain a high level of confidentiality and take steps to ensure the safeguard of records and personal information.
  • Ability to work in a diverse environment.
  • Creative thinker and problem-solver.

 

Other Requirements:

  • Applicants must be currently authorized to work in the United States at the time of employment.
  • Attendance at events and professional development may require travel and work outside of normal scheduled hours.
