About This Role

Kansas State University, College of Agriculture seeks a Human Resources Analyst. This position will conduct or supervise the day-to-day HR functions of assigned department(s) within the College of Agriculture/K-State Research & Extension's Business Services Unit. Manage human resource activities relating to recruitments, on-boarding, hiring, & separations, payroll/time & leave, and employee relations. Ultimately responsible for all HR functions for the unit(s), hold signature authority for HR documents. Act as unit(s)' primary contact on higher-level HR matters, uninterrupted services, and process improvements for HR areas. Consult with managers and employees on HR matters.

Roles/ Responsibilities: 

  • Maintain up-to-date knowledge of the University regulations for recruitments, compensation, and HR actions.
  • Liaise with human resource related offices (Resource Center, Compensation & Organizational Effectiveness, Talent Acquisition, etc), the College of Agriculture Dean's Office, Export Controls and International Student and Scholar Services (ISSS).
  • Accurately complete recruitment forms including: requests to recruit, position descriptions, job requisitions, offer cards, and offer letters.
  • Determine, or assist hiring managers with determining, selection criteria, create screening documents, verify search committee members complete trainings, and coordinate candidate documents.
  • Facilitate communication in recruitment kickoff meetings, interviews, reference checks, and candidate offer selection meetings.
  • Provide guidance to search committee chairs on HR procedures and topics throughout the search process.
  • Maintain detailed information about assigned units' personnel salary information in order to provide coaching to hiring managers on managing pay within the range before hiring offers are made, reducing equity or compression issues within the units.
  • Issue and renew employment eligibility and export control documents for foreign national employees. Track visa information to facilitate new requests, extensions, renewals, or terminations.
  • Produce DS2019 forms for any short- and long-term visiting scholars and students of assigned units.
  • Coordinate complex packets of invitations letters, CV's, passports, confidential personal financial information and handle English proficiency testing. Monitor and track each visitor's record from invitation through departure.
  • Review and sign personnel action documents with the signature authority of the Department Head(s).
  • Complete and process appointment paperwork and personnel transactions for assigned unit(s).
  • Complete and analyze salary projections on initial payroll funding accounts, verify funding in HRIS.
  • Have conversations with faculty supervisors coaching on the completion of onboarding tasks, goal-setting, and 30/60/90-day reviews of new hires.
  • Ensure appropriate on-boarding tasks are completed. This includes updating: databases, websites, space assignments, electronic personnel listings, listservs (including KSRE listserv), and more.
  • For separations and off-boarding: complete HR separation paperwork and reverse this process.
  • May supervise terminations and off-boarding of students/employees completed by other HR staff.
  • Maintain HR archive files and manage the retention process for assigned unit(s).
  • Consult with supervisors to lead and process reclassifications, position updates, FLSA reviews, employee performance improvement plans (as needed), and mid-year and annual employee pay increases for assigned unit(s).
  • Process leave documents for employees of assigned unit(s).
  • Monitor non-exempt employee's HRIS records to ensure their time is reported at pay period end, and work with supervisors to approve employee time prior to pay calculations running.
  • Run HRIS reports and ensure all employees are approved to be paid.
  • Calculate and complete add-pays and summer record pays as needed.
  • Complete FMLA, parental leave, and other leave program paperwork as necessary.
  • Maintain leave accrual records and train employees in the use of Self Service in PeopleSoft. Complete leave corrections as needed.
  • Create, or request creation of, employment contracts for new hires, position changes, and annual renewals of employees.
  • Proof titles and rates of pay, verify updated personal information.
  • Ensure signatures are obtained and conflict of interest form is completed annually.
  • Educate full-time employees about benefits programs by disseminating information and answering all questions.
  • Liaise with the Benefits group in central HR to provide fully accurate information.
    Oversee the completion and submission of department annual evaluations at calendar year-end.

What You'll Need to Succeed

Minimum Qualifications:

  • Requires a bachelor's degree and one year of relevant experience. This position may use an educational equivalency as determined relevant by a hiring manager.

Preferred Qualifications:

  • Ability to learn quickly, determine priorities, take initiative, and work independently.
  • Computer proficiency/ability to learn new systems. This position uses the Microsoft office suite and K­State systems such as PageUp and HRIS.
  • Strong written and verbal communication skills.
  • Demonstrated ability in performing highly detailed tasks
  • Experience in recruitments
  • Experience with K-State HR processes and paperwork
  • Experience responding to needs and requests of a wide range of clients in a friendly and effective manner.
