About This Role

The CRM Specialist will be a part of the Office of Enrollment Management which engages leaders and stakeholders across the university in comprehensive and coordinated efforts to support the university’s goals for student enrollment and success. The CRM Specialist increases our ability to engage with prospective and current students by maximizing the university's CRM system and support recruitment and retention at K-State. K-State currently uses Slate by Technolutions.

This role will be responsible for supporting, monitoring, testing and maintaining all data and functionality in CRM. This position will collaborate with CRM team and work with faculty/staff across the organization including all recruitment and admissions teams for Manhattan/Online campus, Salina, and Olathe and other constituents to support and enhance CRM functionality, bring about new solutions and advocate for proper and effective usage of the CRM. 

The development of a remote work agreement is possible for this position.

Essential Functions include:

  • Collaborate with recruitment and admissions teams and college partners to access current functionality, and continuously develop and implement admissions workflow improvements and enhancements in the CRM. Assist in the development, management, and deployment of workflow rules, custom objects, page layout design, tabs, and data mapping. Seek opportunities for automation or improvement of current processes resulting in efficiencies.
  • Serve as first level support for all CRM related concerns raised by staff, collecting necessary details and triaging the requests for the team including first level diagnostics. Assists in day-to-day production problems, acts as escalation point to resolve urgent and/or complex CRM issues and manages user expectations.
  • Work directly with functional users gathering and defining user requirements for large and small projects, analyzing information about business processes, identifying system solutions and/or incorporating process to meet unique user requirements.
  • Provide support of daily operations of the CRM functionality in the areas of event management, reports and dashboards, form development, communication campaigns, data uploads and other routine tasks. Establish processes and protocols to ensure data quality is maintained and to streamline policies and requests for maximum efficiency.
  • Create and deliver end-user training/documentation and develop ongoing assessment to ensure consistent use of technology tools. Provide functional and technical support across CRM users with varying levels of technical skills.
  • Implement new features and updating existing ones, to maximize the effectiveness of the CRM. Provide recommendations for improvement, consistent with best practices, and communicate any system changes, upgrades, or clarifications to end users
  • Collaborate with campus partners and CRM support services to resolve any issues arising from the CRM. Take a hands-on approach to troubleshooting process, functional, and application issues and manage these through to resolution.
  • Support the recruitment and admissions teams and its goal by partnering with the IT department to ensure the data integration among CRM, Student Information System and other tools operate smoothly.

What You'll Need to Succeed

Minimum Qualifications:

  • Associates Degree and one year of experience

Preferred Qualifications:

  • Bachelors degree
  • Three years of relevant experience. Strongly prefer 1-2 years experience with customer relations management systems;
    K-State currently uses Slate by Technolutions.
  • 1-2 years experience configuring, testing, documenting and supporting the CRM
  • 1-2 years experience in higher education in particular Recruitment, Admissions and/or
    Enrollment Management
  • Ability to find additional pertinent data sources and innovative ways to generate lead data
  • Proven track record of successfully working autonomously, while enjoying the opportunity
    to work on a team-based tasks and projects
  • Knowledge of Student Information Systems such as PeopleSoft Campus Solutions
  • Proven experience in a higher education environment working with clients
  • Strong/proven problem solving skills across multi-disciplinary skill sets and ability to
    function in a start-up environment
  • Strong ability to effectively prioritize competing requests, while keeping lines of
    communication open and clients satisfied
  • Possess a high level of the following work skills and behaviors:
    teamwork/cooperation, initiative, customer service, and commitment to continuous
    professional growth in skills and knowledge.
