About This Role:

The Beef Cattle Institute (BCI) within the College of Veterinary Medicine is seeking applicants for an Office Specialist I. This position will provide operational management and support to the Director of the BCI.

• Assist with BCI faculty/staff meetings and BCI industry annual meetings through speaker/seminar arrangements including annual meetings (travel arrangements, flights, transportation, lodging).

• Responsible for making all travel arrangements and other coordination tasks for speakers. This will include but is not limited to contacting speakers and coordinating their travel itineraries and hotel accommodations.

• Will prepare notices for hard copy and/or online distribution.

• Will coordinate room preparations for lectures/seminars as well as refreshments or other associated activities.

• Act as a receptionist for call into the BCI by answering multi-line telephone system and meeting the caller’s needs or directing the caller to the appropriate person.

• his position will set-up all teleconferences for the BCI as well as process all BCI memos, correspondence and emails.

• Other clerical support as needed or directed by the supervisor.

• Account for purchases for the BCI.

• Enter all Purchase Orders into the college accounting system through the purchase order module.

• Review and monitor purchases according to budgets established for the BCI in grant and other funds as needed.

• Provide assistance to the Director of the BCI by organizing his/her daily schedule, coordinating travel and lodging arrangements when necessary and using good judgement in prioritizing and scheduling.

• Represent the Director to various constituents.

• Ensure a high degree of confidentiality in all matters.

What You’ll Need to Succeed:

Minimum Qualifications:

  • One year of relevant experience

Preferred Qualifications:

  • Bachelor of Science in Business or related field
  • Knowledge of principles and practices of business administration, particularly as applied to University programs, as well as budgeting and accounting principles and practices
  • Ability to multi-talk and prioritize work
  • Proficiency in Microsoft Word, Excel and Powerpoint, excellent public relations and organizational skills, detailed oriented
