About This Role

The Department of Mathematics at Kansas State University is seeking applicants for an Office Specialist II position. This role serves as the lead office support for the Department Head, Associate Director, and Graduate Program Director. The position also assists department leadership with sensitive information and confidential matters.

Reception Duties:
Serve as the receptionist for the Department of Mathematics main office by greeting visitors, directing them to appropriate faculty, staff, or locations, and answering incoming phone calls. Route calls, take messages, and provide general assistance. Coordinate room scheduling through Facilities for exams, courses, review sessions, graduate student defenses, committee meetings, and lab meetings.

Additional Responsibilities:
Perform building manager duties, including issuing key cards and coordinating facility access. Support departmental programs such as guest speakers and awards. Assist with administrative processes including reappointment, tenure, promotion, and graduate faculty certifications. Perform other duties as assigned.

What You'll Need to Succeed

Minimum Qualifications:

  • One year of relevant experience.

Preferred Qualifications:

  • Technical education or higher.
  • Two years secretarial or office specialist experience.
  • Strong organizational skills.
  • Good oral and written communication skills.
  • Familiarity with Microsoft Office Suite.

Candidates must be legally authorized to work in the U.S. on an ongoing basis without sponsorship
