About This Role

This position executes accounting transactions on multiple facets of the Cashiers and Student Accounts office, to include development and processing of accounting payment vouchers, account reconciliation, and customer service engagements. Position also requires liaison roles between different KSU departments (to include Financial Assistance, General Accounting, and Registrar) as well as external entities and other student account sponsors, to include GRA/GTA/GA departments, Dept of Veteran Affairs, host nations, and KSU athletics among others.

Duties and responsibilities:

  • Reconcile and balance all twenty-five (25) Cashiering Office clearing accounts through daily analysis of multiple transactions and transaction flow sources to ensure proper allocation and distribution of funds. These will include Credit Balance Refund (CBR) checks, Sponsorship Accounts, balancing local agency accounts and reimbursing agencies. This requires development of familiarity with multiple sources of funding streams to enable accurate evaluation and identification of funding to ensure distribution into proper clearing accounts or necessity for transfer to another account or agency or return to the state or fund originator.
  • Balance Interfund and adjust if posted incorrectly, to include necessary red/black
    accounting adjustments. This will require a strong knowledge of K-State Student Information System (KSIS) and the Kansas Financial Information System (FIS) and the transactional flow through the System accounts. It also requires coordination with external agencies to include K- State Athletics among others.
  • Requires knowledge of state and KBOR financial policies required to ensure timely execution of money transfers.
  • Responsible for processing daily credit card and check/EFT refunds for student accounts, a well as departmental credit card refunds.
  • Process stop payment for student refunds.
  • Experience with DoE Title IV policies to execute proper analysis and evaluation of refunded monies to determine those requiring compliance with federally directed credit balance refund timelines.
  • Conduct account analysis in coordination with other KSU departments, to include Financial Assistance, Registrar, KSU VA office, to ensure accurate refund amounts.
  • Setup deferments for military, financial aid, and graduate assistance-ship student accounts for each semester.
  • Process student deferments so tuition and fees are assigned due dates as expected.
  • Extensive knowledge of KSIS and interpretation of Kansas State policies involving tuition and fees, KBOR and federal policies.
  • Conduct accounting action for the Emergency Student Loan Program.
  • Balance the Emergency Student Loans (ESL) fund to the Financial Information Systems (FIS).
  • Reimburse KSU for payments made to students, collection agencies and the State Setoff program.
  • Process weekly Default Charge adjustments and verify amounts to post and ensure that adjustments are not made more than once.
  • Create and contribute to various recurring reports both internal and external to KSU, to include analysis on funding flow accuracy, refunded money by frequency, type, and success, as well as annual DoE FISAP report with focus on areas of Perkins and HPSL loan distribution and recoupment and collection monies received.
  • Serve as a backup for processing Emergency Student Loans (ESL).
  • Provide front-line customer service support as needed.

What You'll Need to Succeed

Minimum Qualifications:

  • Requires a high school diploma and one year of relevant experience.

Preferred Qualifications:

  • Two years of relevant experience.
  • Prefer at least one (1) year of customer service experience.
  • Ability to communicate well orally and in writing.
