About This Role

The purpose of this position is to provide leadership, oversight, and direct support for the university’s student financial operations, ensuring accuracy, timeliness, and exceptional service in all aspects of student account management. This includes overseeing the processing of refunds and payment plans, administering specialized financial programs like the Tuition-in-Lieu-of-Salary (TILS) Program, ensuring system accuracy through transaction verification and reconciliation, supervising front-line staff, and serving as a key resource for resolving complex student financial issues.

Duties & Responsibilities:

  • Direct and coordinate all aspects of university refund processes, ensuring the accurate and timely release of funds to students for excess financial aid, overpayments, dropped classes, and other eligible reasons.
  • Manage both weekly paper check processing and daily electronic fund transfer (EFT) and credit card refunds, adhering to specific critical processes for each method.
  • Manage the comprehensive University TILS Program, including in-depth tuition and fee analysis, accurate billing, efficient processing of departmental interfund transfers, and thorough reconciliation of prior semesters.
  • Serve as the primary communication liaison for students, faculty, and university staff involved in the program.
  • Verify the accurate flow of all financial data from the Cashiering System (Transact) into the K-State Student Information System (KSIS).
  • Process all miscellaneous financial transactions that do not automatically integrate through the cashiering system, including ACH transfers and incoming/outgoing wire transfers.
  • Manage and provide training and supervision to staff responsible for overseeing various university payment plans, including the Tuition Installment Payment Plan, the Annual Payment Plan, and the University Repayment Plan.
  • Ensure timely and efficient student enrollment in each plan, recognizing their importance to both students and the university.
  • Supervise and train staff within the Cashiering and Student Services components of the office, including student employees.
  • Serve as the primary, proactive point of contact for students and financial designees, expertly resolving complex inquiries related to tuition and fees, billing, refunds, 1098-T tax forms, 529 plan payments, international wire processing, and overall account management
  • Perform other duties as assigned, including the reapplication of payments due to pay and apply issues and misdirected payments.
  • Assist students and financial designees with issues related to returned payments.

What You'll Need to Succeed

Minimum Qualifications:

  • Requires a high school diploma (or equivalent) and seven years of relevant experience.
  • Requirements may be met through a combination of education and experience.

Preferred Qualifications:

  • Graduation from an accredited four-year college or university.
  • Prefer at least one year of full-time employee supervisory responsibilities.
  • Ability to provide guidance and supervision to various staff members.
  • Well-developed communication skills.
  • Ability to analyze data and make accurate conclusions
  • Knowledge of and experience working with student system, K-State Student Information System (KSIS).

Additional Role Information:

  • Requires completion of K-State Supervisory Foundations supervisory program within six months of date of appointment or promotion.
