About This Role:

The Office Specialist IV provides high-level administrative and program support to the Faculty Senate President, Officers of Faculty Senate and Standing Committees of the Faculty Senate. This position is responsible for event planning, financial support, and administrative operations while providing continuity between annual Faculty Senate appointments by serving as a subject matter expert regarding practices and procedures regarding Faculty Senate operations.

This role is about 32 hours/week (.8FTE).

Duties include but are not limited to:

  • Leading, planning and coordinating logistics for faculty senate sponsored events such as the annual State of the University Address, spring open forum, retiree ceremony, and the annual reception for new faculty and professional staff senators.
  • Maintaining accounts and ensuring proper disbursement of funds for the officers of Faculty Senate, the Provost, and Department of Financial Service.
  • Serving on Ad hoc committees when deemed appropriate.
  • Onboarding new faculty senate leadership annually.
  • Overseeing elections of faculty senators in various units of Faculty Senate to include monitoring upcoming appointment openings, notifying necessary parties of appropriate timelines for elections, identifying who is eligible for reelection and maintaining records of all election results.
  • Serving as a subject matter expert regarding practices and procedures regarding Faculty Senate operations.
  • Providing high-level administrative support and guidance to leadership council which consists of President, President Elect, Past President, Secretary, each set of co-chairs for standing committees and subcommittees, as well as faculty senate caucus chairs.

What You’ll Need to Succeed:

Minimum Qualifications:

  • Three years of relevant experience.

Preferred Qualifications:

  •  Earned bachelor’s degree from an accredited institution.
  • Three years related administrative experience.
  • Proven ability to work independently and as part of a team.
  • Organizational skills with the ability to manage multiple priorities concurrently and pay attention to accuracy, detail, and follow through.
  • Ability to exercise professionalism, discretion, and integrity, especially pertaining to confidential matters.
  • Strong verbal and written communication skills.
  • Exceptional interpersonal skills with the ability to interact courteously and professionally with all levels of diverse stakeholders.
  • Experience providing administrative support and coordination, including scheduling/calendar management, support for events, meetings, speaking engagements or special projects, preparation of documents for signature, and/or communications support.
  • Working knowledge of and ability to learn university policies and procedures.
  • Proficiency with technology, including skills with Microsoft Office Suite (specifically Word, Excel, online calendaring/scheduling
  • Proficiency with web editing software, web content management and use of social media for communications
  • Experience in accounting processes, accounts payable, and reporting.

Anticipated Hiring Pay Range:

$36,791 - $46,905 ($17.69 - $22.55 hourly)
