About This Role:

The Feed the Future (FtF) Innovation Lab for Collaborative Research on Sorghum and Millet (SMIL) in the College of Agriculture seeks a Program Administrator to join a small, dynamic team working to address sorghum and millet value chain issues in our target countries. Kansas State University (K-State) serves as the management entity (ME) for the FtF funded by USAID.  The K-State ME supports collaborative research in three FtF focus countries--Niger, Senegal, and Ethiopia-- through a country-directed portfolio of research projects in plant breeding, production systems management and value-addition (see: https://www.k-state.edu/smil/)

 

The position provides vital assistance to the Director and Assistant Director with respect to operational matters in the implementation of the overall program. The primary responsibility of the Program Administrator (PA) is to assist the ME and Lab-associated faculty and collaborators to assure that the ME remains mission-focused and achieves the program's intended research and engagement outcomes.

Responsibilities:

 

Particular activities include, but are not limited to: Managing reporting to the ME by subcontracted partners, providing technical and compliance reporting to the donor, organizing logistics in relation to domestic and international meetings and travel, depositing and controlling access to data summaries, supplying overall assistance in managing requests and routine communications between the ME and key partners within and outside the program. This position is a critical point of contact for the Lab’s faculty and partners who rely on the PA’s logistical support for effective delivery and necessary adjustments, as project activities and associated challenges evolve. The PA will work with the Business Financial Specialist where reporting requires inputs across their respective areas of responsibility.  Additionally, the PA will monitor the Lab’s compliance with USAID and K-State policy, with particular emphasis placed on fulfilling agreed upon deliverables in the cooperative agreement with USAID. 

 Additional responsibilities:

  • Function as the initial point of contact within the ME for day-to-day operational matters across the program.
  • Assist in preparation of annual, semi-annual and special reports.
  • Liaise with the Lab’s team members to ensure timely preparation and submission of annual travel and work plans.
  • Organize scientific meetings and workshops in the U.S. and overseas.
  • Ensure travel reports are produced and cataloged.
  • Support web-based platforms that report up-to-date project-related information and data that are accessible to multiple users. 
  • Assist in the development of communications documents including program and country overviews, newsletters, feature stories, and urgent information requested by the donor or other strategic partners.
  • Ensure compliance with USAID’s training data management system (TraiNet or equivalent)

What You’ll Need to Succeed:

Minimum Requirements:

  • Bachelor’s degree in business administration, management, agriculture, or related field and one year of relevant experience.

Preferred Qualifications:

  • Master’s degree in business administration, management, agriculture, or related field.
  • Excellent organizational and data management skills.
  • Excellent oral and written communication skills.
  • Demonstrated proficiency with MS Office, including creating and using spreadsheets.
  • Capability to be proactive and productive in a fast-paced environment, sourcing relevant input from appropriate sources and identifying innovative solutions to problems.
  • Strong commitment to client satisfaction and provision of information and training.
  • Experience monitoring international research project portfolio(s) supported by USAID or other development donor funding.
  • Ability to navigate requirements from more than one institutional system, including identifying an effective path forward when these requirements conflict.
  • Proven ability and commitment to work across multiple cultural environments.
  • Commitment to expanding and fostering diversity and working with multi-cultural research teams.
  • Proficient in spoken French.

$48,000- $58,000 depending upon qualifications and experience)
