About This Role:
The Veterinary Medicine Human Resources Manager provides leadership of the Veterinary Medicine HR team.
Human Resource Management
Oversees the day-to-day functions and operations of the human resource activity
- Provides advice and consultation to supervisors, managers, and department heads regarding human resources policies, procedures and practices within a variety of HR specialties including, but not limited to, compensation, benefits, employment, payroll, and/or training.
- Acts as a liaison between employees or departments and University Human Resources.
- Completes change or position/personnel paperwork for unclassified, faculty and USS positions
- Regularly communicates with faculty and staff regarding HR updates and/or changes within positions
- Ensures all Unclassified employee and faculty data is entered accurately in the appointment module within the college accounting system.
- Oversees the maintenance of personnel files in the ImageNow system.
Personnel/Position Management
- Communicates with the Assistant Dean for Administration and Finance, Department Heads, and other managers/administrators to offer advice and guidance pertaining to personnel transactions and employee relation concerns
- Identifies new policies and improvements to current policies/procedures to ensure compliance of State of Kansas, KSU, federal and Office of Institutional Equity regulations and requirements while maintaining optimal efficiency in departments and units
- Provide training opportunities to faculty and staff as needed and/or requested
- Data entry into college accounting system (GL) to ensure accuracy with University HRIS system.
- Semi-annual audit of accounting system to ensure accuracy
- Monitors content and completion of USS performance evaluations in accordance with K-State HR protocol
- Responsible for managing term contracts not on a fiscal year cycle (approximately 100 contracts)
- Prepares annual contract renewals for unclassified positions for all CVM departments (approximately 400 contracts)
International Hires/Work Permits
- Consults with International Student and Scholar Services (ISSS) department and attorneys to process updated work permits and complete paperwork for renewal of current work Visas
- Completes paperwork for employees requesting new or transferred work permits - Consults with ISSS and attorneys to assist with International employees permanent residency cases
- Provides guidance to department admins, current employees, supervisors and department heads regarding requirements for employees on various classifications of work visas
Current Employees
- Advises employees on CVM and/or University policies and procedures, current benefit options
- Provides guidance to employees when they are having difficulties at work and/or with co-workers or supervisors
- Provides guidance to employees on Family Medical Leave Act procedures
- Meet with employees that are retiring to ensure all checkout procedures are completed timely
- Regularly communicates with faculty and staff regarding HR updates and/or changes within positions
Employee Relations
- Understand and explain University and college policies and guidelines to employees and supervisors.
- Collaborate with Human Resources Employee Relations and Engagement to refer employee issues.
Onboarding of New Employees
- Oversee the 4-week onboarding process for all newly hired employees. This includes management of the overall process, establishing weekly schedules, locations, meals, facilitating the training sessions, ensuring appropriate trainers are present at their respective times, and providing training sessions as necessary
- Evaluate process regularly for efficiency and implement changes as needed/necessary
Offboarding of Terminating Employees
- Manage the offboarding process for all terminating employees
- Counsels benefit eligible employees leaving the university on leave policies and benefit options
- Meet with exiting employees on their last day to ensure all offboarding tasks have been completed
- Provide terminating employee exit interview opportunity and/or exit survey link
Supervision
- Oversees the maintenance of personnel files in the ImageNow system and remaining hard copy files of all CVM employees
- Oversees time and leave processes for all departments within the College of Veterinary Medicine
- Oversees the recruitment structure for the CVM to include creating efficiencies within this structure.
- Provides guidance to Human Capital Rep positions relative to student and graduate research assistant positions, recruitment management, and time and leave issues
Imaging System Support
- Maintains ImageNow system for CVM business offices and department offices by managing the workflow, securities, document properties and peripherals
- Troubleshoots with end users as issues arise
- Evaluates the current implementation for improvements and provides guidance and assistance when issues arise

This position is required to be performed on-site. Work is performed on employer premises or designated assignment location.
