About This Role

The Division of Facilities is seeking a detail-oriented Office Specialist II to support the operations and efficiency of the Facilities Services department. This position plays a vital role in ensuring smooth workflows, maintaining accurate records, and providing exceptional customer service to internal and external stakeholders.

Key Responsibilities:

  • Customer Service & Support: Assist with issuing keys, processing work and room scheduling requests, handling shutdown requests, and ensuring continuity of operations as needed.
  • Data Management: Enter and manage data in the AiM system to track departmental charges, prepare reports, resolve financial discrepancies, and support recycling and statistical reporting.
  • Administrative Support: Provide administrative assistance to leadership, including drafting correspondence, managing calendars, and maintaining confidentiality.
  • Office Operations: Maintain office equipment, manage supply inventory, coordinate IT service requests, and process key card formatting and emergency notices.

What You'll Need to Succeed

Minimum Qualifications:

  • Requires one year of relevant experience.

Preferred Qualifications:

  • Two-year college and technical degree w/ focus in Business Administration and/or Accounting
  • At least 3 years of experience
  • Accounting experience
  • Customer service experience
  • Microsoft Office Suites experience
