About This Role

The College of Health and Human Sciences (HHS) is seeking an Executive Assistant to join its team. Serving as an executive-level administrative assistant to the Dean, three Associate Deans, and the Budget Fiscal Officer, this position will be responsible for handling complex communications, managing calendars, coordinating meetings, overseeing administrative tasks, and maintaining confidentiality while handling sensitive information, ensuring the smooth operation of the Dean’s office and facilitating their academic leadership responsibilities. This position reports to the HHS Dean.

Specific duties include, but are not limited to:

  • Compose drafts of correspondence and reports for the Dean, proofreading them for accuracy, grammar, and content
  • Plan and coordinate activities and events associated with contacts outside the University (i.e., alumni, corporations, alumni board, etc.)
  • Coordinate the administrative process for sabbatical leaves, promotion and tenure, mid-tenure review, reappointments, and annual unclassified evaluations
  • Coordinate HHS leadership searches along with HHS faculty and professional awards
  • Establish, organize, and maintain files and correspondence to ensure prompt and orderly retrieval of documents
  • Screen sensitive situations and requests, determining which matters need the Dean’s immediate attention
  • Coordinate agendas, minutes, and meeting materials for the Dean and the Dean’s leadership team
  • Supervise Dean’s Office front desk student employees, covering the front desk in their absence
  • Review, correct, and submit listings received from other administrative units, such as emeritus listings, directory listings, faculty voting eligibility, award nomination submissions, etc.
  • Coordinate travel arrangements and prepare and reconcile travel and procurement card reports

What You'll Need to Succeed

Minimum Qualifications:

  • Bachelor’s degree
  • Five years of relevant experience
  • An educational equivalency may be applicable as determined by the hiring manager

Preferred Qualifications:

  • Experience with a customer service focus, and the ability to anticipate pressure points
  • Ability to pay attention to details and surroundings
  • Evidence of problem-solving ability
  • Experience interacting with a wide variety of individuals and the ability to establish and maintain effective working relationships while understanding and practicing confidentiality
  • Excellent verbal, written, and interpersonal communication skills
  • Strong supervisory and leadership skills
  • Ability to work independently and make sound judgment decisions
  • Ability to prioritize tasks and delegate them when appropriate
  • Strong computer skills
