About This Role

Kansas State University and the College of Agriculture seek a detail oriented IT Procurement Officer. The IT Procurement Officer will serve as the primary contact person for all technology purchased by the College of Agriculture at Kansas State University. This position coordinates all approved technology purchases and oversees all aspects of the technical purchasing program. In addition, this position manages asset tagging and inventory procedures for the College of Agriculture and monitors warranties and equipment lifecycle to ensure optimal planning and utilization of computing resources.

Duties/Responsibilities:

  • Serve as the primary point of contact for the procurement of IT-related equipment, software, services, and supplies within the College of Agriculture.
  • Analyze purchase requisitions, develop specifications, gather quotes, and determine appropriate sourcing methods (e.g., direct purchase, RFP, RFQ, or use of state contracts).
  • Ensure compliance with university and state procurement policies, including documentation for competitive bids, sole-source requests, and prior authorizations.
  • Manage relationships with vendors, facilitate order tracking and delivery, and support effective resolution of warranty or product issues.
  • Collaborate with IT staff and department stakeholders to align purchasing decisions with technical standards and environmental sustainability goals. 
  • Prepare and process purchase orders and requisitions; ensure accurate and timely transactions in accordance with Department of Financial Services (DFS) guidelines.
  • Maintain procurement records and documentation related to bids, quotes, and approvals.
  • Keep current on procurement policies, procedures, and available sourcing agreements (e.g., cooperative purchasing options).
  • Provide guidance to departments on purchasing procedures and available product standards.
  • Coordinate with the Business Office and Accounts Payable to ensure accurate invoicing and timely payment processing. 
  • Oversee inventory and asset tagging procedures for all IT purchases across the College.
  • Monitor warranties, track technology lifecycles, and assist with planning for replacement and budget forecasting.

What You'll Need to Succeed

Minimum Qualifications:

  • Requires three years of relevant experience.

Preferred Qualifications:

  • Experience in purchasing and asset management.
  • Working knowledge of IT hardware, spare parts, and standard business software.
  • Customer-focused approach.
  • Strong Microsoft business application skills.
  • Effective listener with communication skills and the ability to produce effective, professional, and accurate written correspondence.
  • Able to establish productive working relationships with internal teams and external vendors.
  • Detail-oriented self-starter: able to rapidly switch tasks, take initiative to solve problems, and elevate issues in a timely matter.
  • Personal accountability for project timeliness and milestones.
  • Buyer/procurement agent and vendor management experience.
  • Understanding of purchasing systems, company price/part lists and familiarity with accounts payable transaction processing including procedure-to-pay and invoice processing.
  • Experience working in higher education.

Additional licenses / registrations / certifications:

  • Valid Driver's License
