About This Role:

Directly supports the Shared Services Accounting Center and is responsible for day-to-day accounting tasks. Prepares and processes all department and grant expenditures and deposits via Agency Payment Vouchers (APVs), Business Procurement Card payments (BPCs), Travel (TRV), Interfund Vouchers (IFVs), CashNet, and Foundation Disbursement Request/Contribution forms in accordance to university, Foundation, state or federal requirements and obtains accountant's signature approval.  Provides oversight to faculty/PI purchasing methods, spending limits and purchasing compliance.  Maintains accurate records of all documentation received by or processed by the center.

What You’ll Need to Succeed:

Minimum Requirements:

  • High School Diploma
  • Six months relevant experience

Preferred Qualifications:

  • Two years training in accounting practices and business office function
  • Three years of work experience within the accounting field
  • Working knowledge of an accounting program and of Windows applications
  • Good oral and written communication abilities and working knowledge of generally accepted accounting principles
  • Ability to work within a high-volume, fast-paced setting is beneficial with strong attention to detail, organization and time-management skills

Other Requirements:

  • Applicants must be currently authorized to work in the United States at the time of employment
  • Must be able to manipulate computer keyboard and desktop calculator for the majority of each day as well as sit at desk and computer for long periods of time
  • Must be able to maneuver up to 25 lbs of weight without assistance when receiving deliveries

Duties and Responsibilities:

  • Prepares and processes all department and grant expenditures and deposits via Agency Payment Vouchers (APVs), Business Procurement Card payments (BPCs), Interfund Vouchers (IFVs), CashNet, and Foundation Disbursement Request/Contribution forms in accordance to university, Foundation, state or federal requirements and obtains accountant’s signature approval.
  • Handles travel procedures from out-of-state travel requests to travel voucher payments, ensuring all rules and guidelines are adhered to from the request-of-travel to the travel voucher payment.
  • Promptly posts all expenditures in the department accounting application and completes month-end reconciliation with each account against financial information systems (FIS) statements.
  • Provides invoicing back-up to accountant as needed.
  • Provides oversight to faculty/PI purchasing methods, spending limits and purchasing compliance.
  • Ensures proper supporting documentation is promptly received from BPC holders along with their UMB statement each month.
  • Responsible for placing any and all purchases and adhering to requirements set by the state and the university’s purchasing department.
  • Maintains accurate database of inventory to include assigning and affixing property numbers to items and ensures that any corresponding inventory forms are up to date and easily accessible.
  • Maintains accurate records of all documentation received by or processed by the center.
  • Maintains service center supplies stock.
  • Maintains required and beneficial on-campus training as it pertains to job responsibilities.
  • Miscellaneous other tasks as assigned by accountant.

Salary Range/ Pay Rate:

$12.88 to $19.33 per hour

*The minimum salary for this position is $12.88 per hour. Actual salary will be determined based on the candidate’s experience, education, internal equity and departmental funding.  Typically offered salary is between the minimum and mid-point of the salary range.
